Shipping policy

At Aspen Buying Group (ABG), we work directly with manufacturers to fulfill and ship products to our customers. Because many of our products require freight coordination and variable shipping costs, our ordering and shipping process includes a review and approval step.

 

Order Submission & Payment Authorization

When you place an order on our website:

• Your order is submitted as a purchase request
• Your payment method is authorized at checkout, but you are not charged immediately
• This authorization allows ABG to confirm product availability, coordinate fulfillment, and finalize shipping costs

Shipping Cost Confirmation & Final Payment

Because shipping costs vary based on freight, location, and manufacturer logistics:

• ABG will review your order and calculate final shipping costs manually
• You will receive an updated invoice reflecting shipping charges
• You must approve and submit payment for the shipping amount separately

Once shipping is approved:

• ABG will capture the full payment (product + shipping)
• Your order will then be released for fulfillment and shipment

Important: Orders will not be processed or shipped until:

• Shipping charges are approved
• Full payment has been successfully captured

 

Order Processing & Fulfillment

• All products are shipped directly from the manufacturer
• Orders are only processed after full payment has been received and confirmed
• ABG coordinates fulfillment and shipping with the manufacturer on your behalf

 

Shipping Methods & Carriers

Shipping is arranged through third-party carriers and may include:

• Less-Than-Truckload (LTL)
• Full Truckload (FTL)
• Parcel carriers (UPS, FedEx, etc.)

Carrier selection is determined based on:

• Product type
• Size and weight
• Delivery location
• Manufacturer logistics

 

Shipping Rates & Delivery Estimates

• Shipping costs are not fixed at checkout and are calculated after order review
• Final shipping charges will be provided for approval before processing
• Delivery timelines vary by manufacturer and freight scheduling
• All delivery dates are estimates and not guaranteed
• ABG will provide estimated delivery timelines at the time of order confirmation

Solar Modules / Panels Shipping Included

• Shipping costs for solar panels and modules are included in the listed product price unless otherwise stated
• No additional freight charges will be applied to these products after order submission

Shipping processes and pricing methods may evolve as Aspen Buying Group continues to enhance its platform and fulfillment capabilities.

 

Split Shipments

Orders containing products from multiple manufacturers may ship separately. Each shipment may have its own carrier and delivery timeline.

 

Delivery Requirements & Inspection

It is the buyer’s responsibility to inspect all shipments at delivery:

• Inspect all items before signing the Bill of Lading (BOL)
• If damage is visible, do not sign the BOL
• Clearly note any damage with the carrier
• Contact Aspen Buying Group at support@aspenbg.ai so we can assist in coordinating next steps

Failure to inspect and note damage before signing the BOL may limit ABG’s ability to assist with returns, replacements, or refunds related to shipping damage.

 

Bill of Lading (BOL) & Acceptance of Goods

The Bill of Lading (BOL) is a legal document provided at delivery.

By signing the BOL:

• You confirm receipt of the shipment
• You accept the condition of the goods
• Ownership transfers to you

If the BOL is signed without noting damage, the shipment is considered accepted in good condition, and ABG may not be able to assist with returns or claims.

 

Damage Claims & Responsibility

• Shipments signed for without damage notation are considered delivered in good condition
• Failure to refuse or document damaged shipments may result in denied claims
• Claims may need to be filed directly with the carrier
• For damage claims, photos of the product, packaging, and shipping materials will be required to process a claim

 

Transfer of Ownership

Ownership and responsibility transfer to the buyer upon signing the Bill of Lading (BOL).

 

Freight & Delivery Conditions

Depending on your order, additional freight conditions may apply:

• Liftgate service may be required for certain deliveries
• A forklift or appropriate unloading equipment may be required
• Delivery appointments may be scheduled by the carrier

Any special delivery requirements or limitations are the responsibility of the buyer unless otherwise agreed upon in writing.

 

International Shipping (If Applicable)

• International shipping availability varies by product and manufacturer
• Duties, taxes, and import fees are the responsibility of the customer
